Who is responsible and why we do research

Research is your choice. You can use Ludi for your support without taking part in research, and changing your mind later does not change your support. Ludi GbR, Schwanthalerstraße 51, 60596 Frankfurt am Main, Germany, is responsible for this research. We want to learn how mental skills in sport relate to each other and to personality, how athletes change over time, whether support works, and how good our questionnaires are. Some of this data is about your health. We use your data for this only if you say yes (Art. 6(1)(a) and Art. 9(2)(a) GDPR).

Privacy information for athletes

Who can take part

Ludi only offers research from these ages: 16 in Germany, the United Kingdom, the Netherlands and Spain, and 18 in France, Italy, Israel and the United States. These are Ludi’s own limits. We do not offer research in other countries. We check this with the date of birth and country in your profile. If you are younger, or your profile has no date of birth or country, you are not asked and your data is not used for research.

Information used for research

We use only this data about you, and never with your name:

  • Questionnaires: your answers and scores, which questionnaire it was, its version, which parts you answered, and which answers you kept from last time. For injury check-ins, also the injury phase. For team questionnaires, also a code for the round, which kind of leader you rated, and whether your sport psychologist left your answers out of the team result. The team is not named.
  • Assessments: the scores your sport psychologist gave, the signs they ticked in an observation, the areas they marked as reviewed, and the type and status of the assessment. Some assessments start as drafts made with AI help. Written notes are never used.
  • Injuries: when each injury period started and ended, and at each questionnaire or assessment whether you were injured and in which phase (before diagnosis, after diagnosis or return to sport).
  • Support plans: the areas they cover, the tools picked from Ludi’s list of tools, and the status of each plan and tool.
  • Completed sessions: the type, how many minutes, the areas covered, the tools used and the plan they belong to.
  • About you: your sport (if picked from Ludi’s list), type of sport and gender, and at each questionnaire or assessment your age in whole years and the level of your teams.

Your answers come from you. Assessments, injuries, plans and sessions are what your sport psychologist records about you in Ludi. By saying yes, you also allow Ludi to use these records for this research.

Dated records are limited to the study’s cut-off date. We replace calendar dates in those records with day numbers counted from your first entry. The study’s cut-off date is the only calendar date included. Your sport, gender, current injury, teams, and assessment and plan status reflect the later day when we make the study copy, so they can include changes made after the cut-off.

We never use your name or contact details. Your date of birth is only used to work out your age; it never goes into the research data. We also never use free text such as notes or goals, tools your sport psychologist made up, sports typed in by hand, the names of teammates you give, the WHO-5 wellbeing questionnaire, or team questionnaires that promised your answers would only count in the team total.

Your consent covers only the information described when you agreed. An updated notice does not expand that permission. We ask for new, valid consent before adding data or promotional uses that your consent does not cover.

How we protect research data

A research code replaces your name. The key that links the code to you is kept separately. This protects you, but the data is still personal data. Only authorised members of Ludi’s research team can export research records (make a study copy). Your sport psychologist, coach and club do not receive individual research records from Ludi. Each study is recorded with its purpose, who approved it, its cut-off date and its end date, and gets its own codes. Every export is logged. We never try to find out who is behind a code. Before each study, we check that it fits what you agreed to. For anything else, we ask you again.

Research partners and publication

Ludi can run studies itself. We may also work with a university or another research institution. A partner gets only that study’s coded data, never the key, and only under a written agreement that sets out its role and binds it to the same safeguards. If a partner is outside the European Economic Area, we share data only where the GDPR allows it, for example where an EU adequacy decision applies or under EU-approved contract terms and any additional safeguards needed.

We publish only anonymous group findings. We may use them on our website and in materials explaining or promoting Ludi. Before sharing them, we check that no athlete can reasonably be identified, including from small groups or combined details. A quote or case example that identifies you needs your separate permission. We also evaluate how easy Ludi is to use and how much time it takes. Using personal athlete records for a separate product evaluation purpose needs its own legal basis and clear information. Your research choice alone does not authorise it.

How long we keep research data

Each study has an end date recorded before data is exported. We keep research data only while needed for that study, then delete it or make it anonymous by the study end. Any legally required longer storage is only for that legal purpose. If your sport psychologist deletes your profile, your data stops going into research. Permanent erasure also deletes your research code.

Withdrawal, rights and contact

You can change your mind at any time with the “Withdraw from research” button on your booking page or on any of your questionnaire links, also after the questionnaire has closed, or by emailing nelson@ludisp.com. We then stop using your data for research and remove it from studies that are still running. Anonymous group results already published remain available because they do not identify individual athletes.

Questions about research go to Ludi GbR at nelson@ludisp.com, not to your sport psychologist. You can ask to see, correct, delete or get a copy of your research data, or to limit its use. This includes data already in a study. You can also complain to a data protection authority.
